Samples are not souvenirs. They are the buyer's last low-cost chance to catch fit, feature, documentation, and packaging problems before bulk production.

A practical pass / revise / reject scoring method
Do not approve a sample only because the sound is acceptable. For B2B sourcing, separate product performance from launch readiness.
Pass
The sample matches the selected model and the issue list is minor enough to freeze as a golden sample or proceed to packaging approval.
Revise
The core platform is acceptable, but changes are needed for packaging, label, accessory, document, firmware, color, or feature behavior.
Reject
The sample fails the product job: poor fit, unacceptable call quality, wrong feature set, unsupported claim, document mismatch, or unrealistic cost/timing.
Common sample approval mistakes
- No version control: the buyer approves “a sample,” but the factory later cannot tell which firmware, accessory set, or packaging version was accepted.
- One-person fit testing: open-ear products depend on head shape, ear shape, movement, glasses, helmet use, and intended age group.
- Untested use environment: a call headset should be tested in noise; a swim product should be checked against its actual swim-use assumptions; a kids product should avoid unsupported safety claims.
- Document review too late: certification, battery transport, label, and manual requirements should be surfaced before bulk production.
- No written acceptance criteria: “sounds good” is not a production release standard.
Turn sample notes into production requirements
After testing, send a clear approval note: accepted model, unresolved issues, artwork status, document gaps, and the exact conditions under which the sample was approved. Link this back to your RFQ brief and the quality control process.
